Document tools feature intuitive user interface

Motive Systems is releasing a new version of its document management tool. M-Files 3.0 includes entirely new features that further improve the software's usability. The software integrates closely into the organisational workflow and its new workflow features make daily routines easier.

M-Files can also store, for example, the company's customer and project databases.

With M-Files, a company can manage all of its documents from small office memos to complex CAD drawings. Paper documents are also easy to enter into M-Files. Furthermore, M-Files enables customer and project management; the software is said to be a good document management utility for small and medium-sized companies because it is quick and easy to take into use and does not require costly customisation.

The M-Files user interface is very similar to Windows Explorer, making it intuitive and easy to use. Thanks to the versatile search feature and dynamic views, it is quick to locate and view documents, customers and projects without the limitations of a traditional file and folder hierarchy.

M-Files makes the company's data available for the entire organisation, regardless of where workstations are located. It also makes the management of the users' roles and access rights easy. In addition, earlier document versions are always accessible, which protects them from accidental changes.

Each document has a lifecycle, during which it is processed and edited. During the lifecycle, the contributors may change and different people may be responsible for different decisions. However, it is important that every person participating in the process is aware of his or her own areas of responsibility and the working stage. The M-Files Workflow feature enables the modelling of document lifecycles according to real-world processes.

With this new version, users can also manage project and customer properties through the familiar M-Files user interface. Quick Search can be used to quickly locate the customer and edit the customer's information. At the same time, version information is stored. This allows the user to return to view older customer information as required. Projects and customers can be grouped just like documents. Documents can be linked to projects and the customer database can be managed. Permissions can be set so that the viewing and editing of information is restricted to specified user groups.
